Who we are

Zaid Ahsan, trading as Smile Essentials, is the data controller for personal information collected through smileessentials.shop. The store is currently completing pre-launch checks and is not accepting public customer orders. References below to order handling explain how information is used when orders are enabled.

Information we collect

  • Information you provide: name, email, messages, and any contact or delivery details you submit. Please do not send payment card details or detailed medical records through our contact form.
  • Technical information collected through the website: IP address, browser/device information, pages viewed and cookie choices.
  • For purchases: order, billing and delivery details, payment status, delivery updates and correspondence about returns or support. Payment providers handle card details; we do not store full card details.
  • Information from our service providers, such as payment status, fraud indicators and courier tracking updates.

Purposes and lawful bases

  • Answering product enquiries and processing orders, payments, delivery, cancellations and refunds: performing a contract with you or taking steps you request before entering one.
  • General customer service, website security and fraud prevention: our legitimate interests in running and protecting the business, balanced against your rights.
  • Keeping records needed for tax, accounting and other legal requirements: compliance with legal obligations.
  • Optional analytics cookies or any future optional marketing where consent is required: your consent, which you can withdraw.

Information needed to process and deliver an order is required to provide that service. Without it, we may not be able to complete your order. We do not currently ask visitors to join a marketing list.

Cookies

Essential cookies support functions such as security, website preferences and checkout. Our cookie controls allow you to choose whether to allow optional analytics or advertising cookies. You can revisit your choices through the Cookie preferences link in the footer. Refusing optional cookies does not prevent normal shopping.

Who receives information

Relevant information is shared with providers that operate the store: Shopify for hosting and ecommerce; payment and fraud-prevention providers; email and technical-support providers; and authorised people helping administer the business.

When orders are enabled, necessary order and delivery information is shared with fulfilment software, suppliers and couriers. Our planned dropshipping route uses DSers and AliExpress suppliers, which may dispatch from China. Return-parcel information may also be handled by UK Postbox. We do not send your full payment card details to product suppliers.

Providers may act on our instructions or have independent responsibilities under their own privacy notices. We may disclose information where legally required or necessary to establish, exercise or defend legal claims. We do not sell your personal information.

International processing

Shopify and other providers may process information outside the UK. Shopify describes its processing and transfer safeguards in its privacy policy. Before enabling a new fulfilment route, we review the recipients and any international-transfer requirements. Where UK law requires safeguards for a transfer, a recognised legal mechanism is needed, such as adequacy regulations or approved contractual safeguards. Contact us for information about the safeguards relevant to your data.

Retention

We keep personal information only for as long as needed for its purpose. Enquiries are retained while being handled and for a reasonable period to address follow-up questions or disputes. Order and financial records are retained for applicable tax/accounting requirements and legal claims. Technical and cookie records depend on their function and provider settings. We review records and delete or anonymise information no longer needed, subject to legal retention requirements. You can ask us about the retention criteria applying to a particular record.

Your rights

Depending on the circumstances, you may have rights to access, correct or erase information, restrict or object to processing, and receive information in a portable format. Where we rely on consent, you can withdraw it without affecting processing that was lawful before withdrawal. Contact info@smileessentials.shop to make a request. We may need proportionate information to confirm your identity.

Complaints

You can contact us with a concern and we will try to resolve it. You also have the right to complain directly to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint; you do not need our permission.

Children and changes

The website is intended for adults purchasing oral-care products, not for children to provide personal information. We may update this notice when our services or providers change. The latest version and update date will appear on this page.
